Position Summary: The Maintenance Custodian is a full-time position responsible for maintaining the cleanliness, organization, and overall preparedness of the Beaufort County Black Chamber of Commerce (BCBCC) facility. Reporting directly to the Building Manager, this role ensures daily and deep cleaning tasks are performed, supervises contracted cleaning services, and monitors supply levels to support a professional and welcoming environment for staff, community members, and for hosting events.
Scope of Work
Objective 1: Maintain Facility Cleanliness and Preparedness
Goal: Ensure the BCBCC facility is always clean, organized, and ready to host staff, community members, and events.
Tasks and Responsibilities
- Ensure that daily cleaning tasks are performed (e.g., trash removal, floor cleaning, restroom sanitization).
- Coordinate with cleaning crew or perform tasks directly.
- Ensure that weekly deep cleaning of all rooms is performed (e.g., dusting ledges, furniture, sweeping breezeways).
- Deep clean facility every week.
- Create and follow a checklist for deep cleaning tasks.
- Supervise contracted cleaning services.
- Ensure tasks meet BCBCC standards and report any issues.

- Work on setting up/cleaning up all events being held at the BCBCC facilities.
Reporting and Communication

Compensation and Hours
● Hours: 40+ hours a week, with required work on weekends (as needed).

Position Overview
The Finance Administrative Assistant plays a crucial role in supporting the administrative management of BCBCC. Reporting directly to the Finance Administrator, this part-time position will ensure accurate financial documentation, compliance, and provide support to the Finance Administrator, contributing to the overall financial integrity of BCBCC.
Key Responsibilities:
- Assisting the Finance Manager and Bookkeeper with accounts payable/receivable.
- Processing invoices, managing payments, and tracking expenses.
- Ensuring financial records are organized both digitally and physically.
- Inputting financial data into systems and preparing timely and accurate reports.
- Assisting with payroll preparation and disbursement.
- Working to ensure all QuickBooks accounts are maintained and reconciled according to company and agency standards.
- Ensure adherence to financial regulations and company policies.
Assistance with Loan Management:
- Support applicants in completing and submitting accurate loan applications, ensuring all necessary documentation is provided.
- Maintain regular contact with loan applicants, communicating the progress of the loan process, and obtaining any additional required documentation.
- Complete timely monthly and quarterly reports to comply with funding agencies’ requirements.
- Prepare monthly reports for the President and Board of Directors, detailing loan activity, status, and progress.
Collaboration and Support
- Work closely with the Bookkeeper to manage past due account balances and support clients in maintaining accounts in good standing.
- Collaborate with the Finance Administrator to ensure that all required financial reports are submitted to funding agencies promptly.
- Perform other related duties as assigned.
Compliance and Reporting
- Coordinate with appropriate staff including the Finance Administrator, Certified Public Accountant (CPA) and Bookkeeper to:
- Ensure adherence to all financial policies and procedures, maintaining the authenticity and integrity of BCBCC's accounting affairs.
- Ensure compliance with all BCBCC, SBA, USDA, and CDFI program requirements, lending practices, and federal regulations
- Maintain accurate and up-to-date records of all loan activities, ensuring adherence to data security and confidentiality standards.
- Analyze transaction records to ensure compliance with financial policies, procedures, and funding agency requirements.
- Aid in the preparation and submission of accurate financial reports for the Finance Administrator and Finance Committee.
Objectives of the Role
- Coordinate with the Finance Administrator and Bookkeeper to:
- Ensure all accounting documentation is accurately stored and easily accessible.
- Maintain the accuracy and integrity of BCBCC’s financial records and affairs.
- Support clients and members in maintaining accounts in good standing and address any discrepancies promptly.

The Receptionist provides essential support to the Beaufort County Black Chamber of Commerce (BCBCC) by performing a variety of clerical and administrative tasks. This role ensures the efficient operation of the office, maintains accurate records, and supports event and rental coordination as needed.
Key Responsibilities:
Receptionist Duties
- Support the front desk by answering and routing phone calls, taking messages, and responding to general inquiries.
- Greet visitors and direct them to the appropriate staff or resources.
- Manage the visitor sign-in process and track office appointments.
Clerical Support
- Maintain organized filing systems, including physical and digital records.
- Perform routine data entry, ensuring accuracy and confidentiality.
- Photocopy, scan, and prepare documents as requested by CEO.
- Sort and distribute incoming mail and manage outgoing correspondence.
Event and Space Rental Assistance
- Assist in scheduling and tracking events and rental bookings.

Position Overview
The Membership & Program Coordinator plays a crucial role in supporting the administrative management of the BCBCC and its events. Reporting to the Executive Director, this full-time position will spearhead the recruitment of new members and manage the communication and accurate documentation of existing members, contributing to the overall integrity of BCBCC. Additionally, this role will work alongside the organization’s Communications team and Building Manager to implement and ensure the successful execution of program activities that meet organizational goals.
Key Responsibilities:
Program Planning & Implementation:
- Develop and implement a strategic plan for the BCBCC, outlining member activities that align with the program’s mission and objectives.
- Oversee the day-to-day operations of membership retention and recruitment campaigns, ensuring that projects are completed on time.
- Coordinate events, workshops, and activities that promote the values of the BCBCC for our members.
- Reach out and coordinate with local vendors for BCBCC events.
Membership Engagement & Outreach:
- Build new relationships with community members, leaders, and other organizations to expand the BCBCC’s membership.
- Maintain pre-existing relationships with community members, leaders, and organizations that have been or are currently members.
- Work alongside our organization’s Communications team to promote our members professional and entrepreneurial endeavors.
- Develop and launch promotional campaigns that keep existing members abreast of any events the BCBCC will be hosting in accordance with the organization’s membership policies.
- Create and implement outreach strategies to engage prospective members across various demographics with the BCBCC and its organizational events--fostering a sense of ownership and participation.
- Direct the releasing of membership materials for new members.

- Prepare and present regular reports on program progress outcomes and challenges (to the Executive Director and stakeholders), as well as maintain an accurate and up to date record of current members.
- Direct a small team in the releasing of membership materials, ensuring that the process is efficiently completed.
- Use data and feedback to make informed decisions and adapt membership recruitment campaigns to ensure continuous improvement.
Partnership Building and Collaboration:
- Establish partnerships with new and prospective BCBCC members to ensure the BCBCC is working in accordance with our policies to support and encourage our members.
- Represent the BCBCC at community events, meetings, and forums to raise awareness and build support for the organization.
- Collaborate with other BCBCC departments to ensure that programs are well supported by staff and meet the organization’s broader mission and goals.
Marketing & Promotion:
- Work in tandem with the BCBCC’s Communications team to manage the organization’s routine correspondence with its members.
- Develop promotional materials for existing and prospective members utilizing social media content, and newsletters that highlight the BCBCC’s past, present, and upcoming activities and impacts.
- Ensure that all communications are culturally sensitive and effectively convey the program’s mission and goals.
